Technology Update: Scheduling events in EMS

Events Management System (EMS) is currently used for scheduling events throughout UVI. The class schedule, once finalized, is sent from Banner to EMS after which time events are entered in the system. All classes and events are then available for view through Virtual EMS http://schedule.uvi.edu.

Starting Spring 2011, Virtual EMS will be used for scheduling events as well. Instead of calling or emailing someone, persons can request rooms online.
UVI scheduling staff will review the requests and inform the requestor if his/her request is approved.

During Spring 2011, EMS will also be available through the portal. Once a user logs in there, the application will be one click away without the need to enter user credentials via EMS direct link.

Libraries hours of operation in December:

The Libraries will observe Intersession Hours beginning Sunday, December 12, 2010 to Friday, December 17, 2010. The Library will open at 8:00 am and will close at 4:30 pm daily.
Due to renovations taking place in the St. Thomas Library it will be closed to patrons during Intersession hours.
The Libraries on both campuses will be closed to patrons on Wednesday, December 15, 2010 for our annual ITS retreat.
Helpdesk services will be available via ext. 1466 plus users can forward service requests to helpdesk@uvi.edu. All systems will be evaluated by technical support prior to our departure. To endure all systems are functioning correctly.
The Libraries will be closed during the University Christmas Recess beginning Monday, December 20, 2010 and will reopen on Monday, January 3, 2011.

Replacement telephone equipment has landed on St. Croix . St. Croix campus technical staff is headed to Customs attempting to clear equipment through Customs today. Installation of equipment will commence today if equipment is cleared by Customs. ITS will work diligently to restore service this evening if all goes as planned .

Telephone system on the St. Croix campus sustained equipment damage as a result of a power failure

Technology Update for November 12, 2010

Greetings to All,
This email is to let you know that the telephone system on the St. Croix campus sustained equipment damage as a result of a power failure experienced on Wednesday during the heavy rains.
Users on St. Croix campus will not be able to complete internal or external calls. In addition, users on the St. Thomas will not be able to complete calls to the St. Croix campus.
Replacement telephone equipment should arrive on St. Croix today if weather conditions permit. Once Customs is cleared, installation of replacement equipment will commence.
We will provide another update by 3:00 pm today.



All uvi.edu (Blackboard, BanWeb, etc) and Internet services are functioning on the St. Croix Campus.

Did you know that groups can conduct polling or voting through UVI’s portal at https://mycampus.uvi.edu ?

The portal can be used to poll specific groups, or host elections. Faculty votes, student government or staff council voting all can be done using the portal…….

The poll is created by the administrator of a community (e.g. students, staff or administrators) If a vote is required by the entire university community (for example to choose the date of a party), then the poll is created by the portal administrator.

Library Renovations Continue ……….

Library Renovations Continue ……….
Please be careful and excuse the noise as we modernize our library into a 21st century learning commons.
During this renovation period, the back area of the library (including both the east and west Bound Journal study areas) will be off limits and the books placed in storage. There will be no direct or immediate access to books within call number range KF 4192.5 through PS 3555; the corresponding subject areas include Law, Education, Fine Arts, Language and Literature. Please note, stored books may be requested by filling out a call slip and will be retrieved within 24 hours, Monday-Friday. Books requested on week-ends may not be available until Monday.

The compact shelving has arrived and new carpeting will be installed in the back area next week! Please note, trailers and dumpster will occupy several of the parking spaces in the back of the library; we apologize for any inconvenience this may cause. We are creating a new learning environment for you the 21st century learner. Stay tuned for the next update of ITS on the move! ! !

The Ralph M. Paiewonsky Library will be undergoing renovations beginning Monday, October 25, 2010, and continuing through the end of the semester.

During this renovation period, the back area (including both the east and west Bound Journal study areas) of the library will be blocked off and the books will be placed in storage. There will be no direct or immediate access to books within call number range KF 4192.5 through PS 3555; the corresponding subject areas include Law, Education, Fine Arts, Language and Literature. Technology Update: Countdown to the Last Days of the completion of the Microwave project.

This is an email reminder that the conclusion of the work on the microwave system will conclude by the end of this week. The microwave tower crew is still onsite, between St. Thomas and St. Croix performing quality of service testing of the microwave connection between both islands.

Testing will continue tomorrow September 30, 2010 from 8:00 AM to 12:00 noon. During this testing window, the inter-island communication system may be intermittent. Video Conference and data connections will remain functional but the 4 digit dial and voicemail for St. Croix users will not be operational.

• Users on St. Croix campus can access the St. Thomas campus by dialing 693 and the 4 digit extension of the person you are trying to call.
• Users on the St. Thomas campus can access the St. Croix campus by dialing 692 the 4 digit extension of the person you are trying to call.

Completion of the microwave project

Technology Update: On the conclusion of the microwave project.

The microwave tower crew will be onsite, between St. Thomas and St. Croix starting today to complete the final punch list tasks of the microwave project.
• Removal of the old system
• Configuring of the new system for system redundancy

A maintenance window has been scheduled for today during the hours of 8 am to 12 pm when there are the fewest VC classes/meetings. Please note that the tower crew cannot climb the towers after dark and the most VC classes are in the evening and after 5:30 pm.

During the maintenance window, the inter-island communication system may be intermittent. The Data Tunnel will remain operational so VC and data will work but the 4 digit dial and voicemail for St. Croix users will not be operational.

The St. Thomas Library is getting a new Service Desk. Installation will begin on Thursday September 9, 2010. We anticipate the installation of the new Service Desk will be completed by this weekend.

For your safety, during the installation the entrance to the St. Thomas Library will be through the Center for Excellence in Teaching & Learning (CETL). The entrance to the Center is located to the left of the main Library door. Arrows will be posted for your guidance.

Please be informed that Blackboard Course Management system is not accessible at this time. UVI technicians are currently troubleshooting and attempting to restore service as soon as possible.

St. Croix Internet connection is still intermittent and connection speed is slow. Broadband Virgin Islands, our Internet Service Provider on St. Croix indicated that full Internet service should be restored to the St. Croix campus by the end of this week.

The microwave installation crew is back on island this week to complete the work on the new microwave system. As you know the project was delayed as a result of inclement weather last week. ITS will provide another update as to the completion date on Friday.

Greetings UVI Community,

Please be informed that internet services are still intermittent on St. Croix campus connecting speeds are slow. Please be patience and if you need the assistance of the helpdesk please call us at ext. 1466 or email helpdesk helpdesk@uvi.edu.

All services can also be accessed outside the St. Croix campus by using a working internet connection. Use the following internet addresses below to connect:

Our ISP (Internet Service Provider) did sustain tremendous damage to their equipment as a result of the inclement weather conditions over the last week. They are currently attempting to repair/replace equipment as we speak. Unfortunately, at this time I cannot give a timeframe for the completion of this work.

Also, due to the inclement weather the installation of the replacement microwave system has to be postponed a couple of days. The St. Thomas campus can be accessed by dialing 693-XXXX and the extension of the person. Please keep in mind that the voice mail services is not available on the St. Croix campus and new voice message will not be recorded. Voice mail and four digital will be restored once the replacement microwave is operational.

ITS will provide another update on the status of our Services as well as provide another completion date for the final installation of the replacement microwave system.

Technology Reminder: Cleaning and deleting old emails in Outlook Exchange:

The purpose of this email is to encourage all users to get in the habit of regularly archiving or deleting all unnecessary email. The use of email storage has more than doubled this past year, UVI email users are now using close to a terabyte in email storage for both campuses. In an effort to immediately reduce the amount of storage used, please delete unneeded email and AutoArchive email regularly. Additionally, make it a practice to save emails with large attachments, such as pictures and media files, to your local hard drive. Users should check first to confirm, that their hard drive has sufficient storage space. Note, these files can also be saved preferably to an external drive. ITS recommends that all users consider using an alternate backup for important emails.
Here’s how to quickly clean your Inbox in Outlook 2003/2007
If you receive a lot of emails every day your inbox can fill up quickly. Outlook 2003 has an easy way to clean up your inbox quickly without having to go through each email individually to decide what needs to be kept.
To get to this window, click on Tools \ Mailbox Cleanup.

In this window you have several options to choose from. The easiest option is to select AutoArchive, which will move older items into the Archive Folder. You could also choose to empty the deleted items.
One of the more useful features however, is to quickly find all large emails using the “Find items larger than” button. Deleting all the largest emails would very quickly bring your inbox size down to a reasonable size.

Here’s how to configure AutoArchive in Outlook 2007
The AutoArchive feature can be used in order to control what email is kept on the server’s storage and what can be saved to your local hard drive or preferably an external drive. AutoArchive is turned on by default in Outlook 2007 and will actually remove some of the oldest files (you determine the amount of time).
Open Outlook and click on Tools \ Options

Now click on the other tab and click the AutoArchive button.

This opens up a whole menu of options and settings to pick from: for instance you can choose how often AutoArchive runs for example it can run every 20 days. A check should be placed next to “Prompt before AutoArchive runs” so users can confirm the AutoArchive run.

This is also where you decide when to clean out old items. You can select the Browse button to indicate where you want to move them to, your local hard drive or an external drive. You can always select to permanently delete old items if you do not want to keep them around any longer. Click OK to save your settings.

JULY 13, 2010: Update On Microwave Replacement

Greetings All,

As you may have noticed the path alignment for the microwave began today, so 4-digit dial to STX is not operating. All extensions and voicemail will have to be accessed via 7 digit dial. That means you will have to check your voicemail on STX, your voicemail light will not work.

It will be at least 48 hours before the service is restored. The Office of the CIO will keep you informed when these services are available. Thank you for your patience – we know our patience is being tested!

Update On Microwave Replacement

Greetings All,

We are in the final stretch of the inter-island microwave replacement. We have been blessed with a little sunshine to complete the work.

The inter-island data connection has been running over the Internet since June 25th so you will see no change in videoconference services or connection speed to Banner or Blackboard.

However as we start the path alignments in the next hour, St. Croix will not have 4 digit dial capabilities and voicemail will have to be accessed via 7 digit dial. That means you will have to check your voicemail on STX, your voicemail light will not work. These services will be unavailable until SATURDAY.

Pending any rain, we will be operating on the new microwave on Saturday. The crews will be on island through Tuesday as we perform testing and make any necessary adjustment. So do not be alarmed by any brief outages that may occur between Saturday and Monday.

We appreciate your patience as this important step is completed.

Technology Maintenance Updates:


Please note that, starting at 10:00 A.M. on Thursday, May 13, 2010. Choice will begin the process of upgrading UVI’s Internet circuit to prepare for multiple, redundant connections. This may cause intermittent Internet access as well as slow down in connecting to sites.

Also, Blackboard will be off-line between 9:00 A.M. and 12 midnight on Thursday, May 13th to allow system administrators time to perform maintenance related system backup and restoration procedures. We do not expect the system to be unavailable the entire time, but users will experience intermittent service during this time.

Banner Upgrade Completed

Greetings Colleagues,

ITS wishes to thank the UVI community for its patience during the Banner release 7 to 8 upgrade this past Carnival weekend. The upgrade went smoothly. We are currently running Banner 8.2 in all modules.

Users will notice some differences in Banner 8 some small, some large. One notable difference is in the self services feature, students will notice the student and financial aid tabs are now separate.

The ITS/EDUS staff worked throughout the weekend to ensure the database was up and ready for Monday morning. ITS would like to thank all departments that worked in their modules on Saturday and/or Sunday to validate the upgrade. Thank you for putting in this time during the biggest cultural event in the VI!

UPDATE: Important Update from the Office of the CIO

Greetings UVI –

The microwave became operational at 10:18 pm last night. It went down again and then back up at 8:42 am this morning. Errors were found on the Penha house side because the dehydrator (equipment that keeps moisture from collecting in the conduit that contains the cabling to the microwave) is not functional. Derval Prince on St. Croix worked with the Aviat (formerly Harris Stratex) tech over the phone this morning and was able to successfully clear all but one local system error. As of this email, the microwave is operational. It is likely that the microwave will operate intermittently since equipment has failed. ENS will continue to monitor until we install the new system in May.

As always we will keep you posted. As finals approach, please do not get taken by surprise …try to plan for the microwave to fail during your final 

Technology Update Second Notice: Cleaning and deleting old emails in Outlook Exchange:

The purpose of this email is to encourage all users to get in the habit of regularly archiving or deleting all unnecessary email. The use of email storage has more than doubled this past year, UVI email users are now using close to a terabyte in email storage for both campuses. In an effort to immediately reduce the amount of storage used, please delete unneeded email and AutoArchive email regularly. Additionally, make it a practice to save emails with large attachments, such as pictures and media files, to your local hard drive. Users should check first to confirm, that their hard drive has sufficient storage space. Note, these files can also be saved preferably to an external drive. ITS recommends that all users consider using an alternate backup for important emails.
Here’s how to quickly clean your Inbox in Outlook 2003/2007
If you receive a lot of emails every day your inbox can fill up quickly. Outlook 2003 has an easy way to clean up your inbox quickly without having to go through each email individually to decide what needs to be kept.
To get to this window, click on Tools \ Mailbox Cleanup.

In this window you have several options to choose from. The easiest option is to select AutoArchive, which will move older items into the Archive Folder. You could also choose to empty the deleted items.
One of the more useful features however, is to quickly find all large emails using the “Find items larger than” button. Deleting all the largest emails would very quickly bring your inbox size down to a reasonable size.

Here’s how to configure AutoArchive in Outlook 2007
The AutoArchive feature can be used in order to control what email is kept on the server’s storage and what can be saved to your local hard drive or preferably an external drive. AutoArchive is turned on by default in Outlook 2007 and will actually remove some of the oldest files (you determine the amount of time).
Open Outlook and click on Tools \ Options

Now click on the other tab and click the AutoArchive button.

This opens up a whole menu of options and settings to pick from: for instance you can choose how often AutoArchive runs for example it can run every 20 days. A check should be placed next to “Prompt before AutoArchive runs” so users can confirm the AutoArchive run.

This is also where you decide when to clean out old items. You can select the Browse button to indicate where you want to move them to, your local hard drive or an external drive. You can always select to permanently delete old items if you do not want to keep them around any longer. Click OK to save your settings.

TECHNOLOGY UPDATE:


Greetings UVI Community,

This Technology Update is being sent to alert all users that the Palevo virus has been detected on several workstations on the St. Thomas campus. In an effort to contain the virus as much as possible, we have initiated from the F-Secure manager, a global scan of all workstations currently on the UVI network. The auto scan is transparent to the user; however the user may notice that their system may respond a little slower than normally while the scan is taking place.

Beginning at 4:00 PM today Enterprise Network Services will commence a global network scan of all workstations and appliances connected on the UVI network.

Virus:W32/Auto run
Category: Malware
Type: Worm
Platform: W32

Summary
A program that secretly and maliciously integrates itself into program or data files and spreads by integrating itself into more files each time the host program is run.
Additional Details
Auto Run worms spread by copying themselves into the root directories of hard drives and other writable media such as USB memory sticks.
These worms create an autorun.inf file in the root directories of drives they want to infect.

Propagation
The autorun.inf includes the name and path of the actual worm executable.
When an infected media device (such as a CD, DVD or USB drive) is inserted into the computer, the autorun.inf and consequently the actual malicious program is automatically executed.
In addition to drives on the local computer, an Auto run worm can also spread to remote computers by infecting shared network drives.
Payload
Members of the Auto Run family also often contain other functionality in addition to just spreading.
This infection method is often used to propagate malicious payloads, such as a backdoor, password stealer, or some other kind of Trojan.

Information Update: Inter-island Microwave repair

Greetings all;

This is to keep you informed of the status of the inter-island microwave functionality, following the events of last week.

The Harris-Stratex technician repaired the primary and alternate radios on Saturday which is allowing us to run STX access to UVI services over the microwave. All major alarms on the system have been cleared, however, there is still a minor alarm to be addressed. Although the system has been stabilized, we cannot say how long it will continue to function. We are using both the primary and alternate radios concurrently, to maintain the existing level of operation.

ITS staff has successfully tested the data tunnel which will act as a back-up system, so that in the event of microwave failure, inter-island traffic will traverse over the public Internet. CHOICE has increased our Internet service on STT and FIU has increased out Internet service on St. Croix so that sufficient bandwidth would be available to accommodate necessary VC traffic and related content-sharing in VC rooms.

Additionally, the time-line for replacing the microwave has been moved up. We expect work to begin on this by the second week in April.

Thank you for your patience while we addressed these issues, and for assisting our students in navigating around the temporary set-back. We owe a debt of gratitude to the ITS - ENS staff who worked so diligently with the microwave technicians and who launched the data tunnel as a failover option.

CRITICAL UPDATE: Inter-island Microwave

Greetings All,

I want to take a moment to update you on the status of the microwave and thank you all for your patience and perseverance and recognize the ITS staff – who have moved mountains today.

The alternate radio on the inter-island microwave is no longer working reliably. For most of the day STX services ran over the Internet. We have had some signs of life from the microwave in the last hour or so, at least at this minute it is running. It is not expected to continue

We are proceeding as if there will not be microwave service that we can rely upon until the microwave is replaced.

This is what is occurring:
• The networking staff will be working over the weekend to implement “quality of service “ for the vc rooms. This means they are reprogramming the networking equipment to give vc traffic priority.
• We have asked a Harris-Stratex technician to come on to campus TOMORROW to try and repair either of the radio paths. This is a long-shot but one we have to take. They may not be able to do anything…and if they can make repairs we cannot guarantee how long it will work.
• We have made arrangements with CHOICE to increase our Internet service on STT to 30 megs. We are trying to confirm that this in already in place. We are taking measures so that this new 15 megs will services the vc rooms and incoming traffic only. The increase will be for a period of only 3 months, which will allow the completion of the RFP process for 45 mbps that we have already initiated. This should provide much relief to the quality of the VC broadcasts.
• We are also increasing our bandwidth on STX to keep up with the demands.
• Harris-Stratex has agreed to schedule the install of the new microwave the first 2 weeks in April. They are putting timelines together for us as we speak.

What services will be effected:
• With the increase in Internet service, we should not have to eliminate service in the dorms. However we continue to keep this as an option to best serve our VC classrooms.
• All VC classes will be connected using the Internet. The content services are working, we will monitor picture quality with the new bandwidth. Audio will likely be reasonable enough to use. An option to connect via telephone is always there.
• St. Croix will not have four digit dial until further notice. User should be diligent about checking their voice mail via the 693-1599 extension.
• St. Croix users will need to access exchange via the web at exchange.uvi.edu.
• Blackboard and Banner are available on STX, however connections may be slow.
• We are asking for lots of help from the Provost and the Deans to work with faculty and students on doing the best we can with what we have to work with.

Technology Update for Friday:

The microwave continues to fluctuate with its connection this morning. As a result, a maintenance window has been scheduled for Saturday, January 23, 2010 tomorrow at 12:00 pm to 2:00pm. During this time the microwave will not be operational.

We are currently operating on the alternate radio; the original radio is not working at all. Since the alternate radio has not been utilized in some time, it is not stable, causing the microwave connection to go in and out. More troubleshooting efforts are need to either repair the original radio or stabilize the alternate radio.

Good news is when the microwave goes down all VC rooms, BB, Banner and Banweb will connect through the Internet automatically. Users will access the system the regular way. Please note, during an outage Desktop Outlook will not work on the St. Croix campus users should be encouraged to use exchange.uvi.edu to receive and send email when the microwave is not functioning.

When the microwave is down the quality of the VC product is not the best. The picture is a little blurry but faculty can still communicate with their classes via the VC connection. If the VC connection becomes poor, faculty may choose to conduct class by audio conferencing only. These numbers can be used to connect to the class via audio conferencing. Please be advised that technical support will be available to assist faculty at the beginning of their class. Users can call ITS helpdesk at ext 1466 if assistance is needed.

Please note that the internet connection on STT campus may become slow because of bandwidth usage plus users on the St. Croix campus may experience slow connection rates.

LATER THAT SAME DAY: Inter-island Microwave


Greetings,

First I would like to thank those of you who offered up your office microwave ovens for spare parts and for the bubble gum and bailing-wire that have been delivered to my office. 

The interisland microwave has been operating since approximately 11:45 this morning. We have made adjustments to the equipment at crown mountain in an effort to maintain the connection. We have also sent our last MUX card to St. Croix on the 4:30 Cape Air flight so we can keep the microwave from trying to re-connect on its primary path radios and maintain the connection on the alternate radios. These alternate radios have not been activated for use before yesterday so we are moving carefully and cautiously to make necessary changes. The card will be installed tomorrow morning before 8am in an effort to stabilize the connection. We are going to let the system run tonight in an effort to meet evening class needs.

This evening, we will monitor the system closely. If the radios do lose their connection, the vc and other data systems will automatically move back to the data tunnel over the Internet. So services will be available –except for four digit dial—and low quality on the videoconference pictures even if the microwave fails. Again technicians will be hovering to assist with reconnections or audio connections…whichever best meets the needs of the instructors.
